ExSafe B2B Portal — BARTEC Safety (Pty) Ltd

Last updated: May 2026

1. Introduction

BARTEC Safety (Pty) Ltd ("we", "us", "our") operates the ExSafe B2B Portal. This Cookie Policy explains how we use cookies and similar tracking technologies on the Portal, and your choices in relation to them. This Policy is intended to be read alongside our Privacy Policy (POPIA) and complies with the Protection of Personal Information Act 4 of 2013 ("POPIA") and, where applicable, the Electronic Communications and Transactions Act 25 of 2002 ("ECTA").

2. What Are Cookies?

Cookies are small text files placed on your device by a web server when you visit a website or web application. They are widely used to make websites function correctly, operate more efficiently, and to provide reporting information. Cookies may be "session cookies" (deleted when you close your browser) or "persistent cookies" (retained for a set period or until deleted). Similar technologies include local storage, session storage, and browser fingerprinting, which may be used for equivalent purposes.

3. How We Use Cookies

The ExSafe Portal is a business-to-business application accessed by invitation only. We use a minimal set of cookies and similar technologies strictly necessary for the Portal to function. We do not use advertising or profiling cookies.

Strictly Necessary Cookies

These cookies are essential for you to log in, maintain your authenticated session, and navigate the Portal securely. Without them, the Portal cannot function. They are set in response to your login action and are automatically deleted when your session ends or you sign out. As these cookies are essential to the operation of the Portal, they do not require your separate consent under South African law.

Functional Cookies

We may store user preferences (such as UI settings) in browser local storage to improve your experience on return visits. This data does not identify you personally and is stored locally on your device only.

Analytics Cookies

We may use limited, privacy-preserving analytics to understand how the Portal is used in aggregate (e.g., which features are accessed). Where any analytics tool processes personal information, it is done in compliance with POPIA and is subject to appropriate operator agreements. No cross-site tracking or behavioural advertising is conducted.

What We Do Not Use

  • Advertising or retargeting cookies
  • Third-party social media tracking pixels
  • Cross-site profiling technologies
  • Any cookies that share your data with third parties for their own marketing purposes

4. Legal Basis for Processing

Under POPIA, we process information collected via cookies on the following bases:

  • Legitimate interest and contractual necessity: Strictly necessary cookies are required to provide the Portal service you have requested and to maintain security.
  • Consent: Where non-essential cookies or storage are used, we obtain your consent. As the Portal is a closed B2B system with minimal non-essential tracking, your acceptance of these Terms and continued use of the Portal constitutes informed consent for functional analytics described above.

5. Managing and Disabling Cookies

You can control and delete cookies through your browser settings. Most browsers allow you to refuse or delete cookies. Please note that disabling strictly necessary cookies will prevent you from logging in and using the Portal. Guidance on managing cookies is available through your browser's help documentation. You may also clear local storage and session storage via your browser's developer tools. Disabling non-essential storage will not prevent you from using the Portal's core features.

6. Third-Party Technologies

The Portal is hosted and powered by third-party infrastructure providers operating under appropriate data processing agreements. These providers may set technical cookies or use server-side session identifiers as part of delivering the service. Where they process personal information, they do so as operators under POPIA, bound by contractual obligations to process only as instructed by us.

7. Retention

Session cookies are deleted when you close your browser or sign out. Persistent cookies and local storage data are retained for as long as necessary for the purpose described, or until you clear them manually. We periodically review our use of cookies to ensure continued necessity and proportionality.

8. Your Rights

As a data subject under POPIA, you have the right to request access to, correction of, or deletion of personal information we hold about you, including information collected through cookies where it constitutes personal information. To exercise these rights, please contact our Information Officer at support@bartec.co.za.

9. Changes to This Policy

We may update this Cookie Policy from time to time to reflect changes in technology, law, or our practices. We will notify registered users of material changes via email. Continued use of the Portal after notification constitutes acceptance of the updated Policy.
