1. Responsible Party

BARTEC Safety (Pty) Ltd, a company registered in South Africa and forming part of the Experitus Group, is the Responsible Party as defined under POPIA. All enquiries regarding the processing of personal information may be directed to our Information Officer at support@bartec.co.za.

2. Scope and Purpose

ExSafe is a business-to-business (B2B) order management portal. Personal information collected through this platform relates exclusively to authorised representatives of registered business entities ("Clients") for the purpose of:

• Processing and fulfilling product orders placed with BARTEC Safety (Pty) Ltd
• Communicating order status, shipping and delivery updates
• Maintaining a secure audit trail of B2B transactions
• Complying with applicable South African legislation

3. Personal Information Collected

We collect only the minimum personal information required, including: full name, business email address, company name, and order-related communication. We do not collect sensitive personal information as defined under POPIA Section 26.

4. Legal Basis for Processing

Processing is conducted on the basis of: (a) the data subject's express consent; (b) fulfilment of a contractual obligation between the parties; and (c) compliance with a legal obligation. Personal information will not be processed for any purpose incompatible with the stated purpose.

5. Data Retention

Personal information will be retained for the duration of the business relationship and for a further period as required by South African law (including the Companies Act 71 of 2008 and the Tax Administration Act 28 of 2011), after which it will be destroyed or de-identified.

6. Sharing of Personal Information

Personal information will not be sold or shared with third parties for marketing purposes. Information may be shared with logistics and courier partners solely for the purpose of order fulfilment, and with the Experitus Group for operational purposes. All operators are contractually bound to process information in accordance with POPIA.

7. Rights of Data Subjects

In terms of POPIA, you have the right to:

• Request access to your personal information (POPIA Section 23)
• Request correction or deletion of inaccurate information (Section 24)
• Object to the processing of your personal information (Section 11(3))
• Lodge a complaint with the Information Regulator of South Africa

8. Security

We implement reasonable technical and organisational measures to protect personal information from unauthorised access, disclosure, alteration or destruction, in accordance with POPIA Section 19.
